Booking
Booking can be made at any time before departure, but should preferably be made at least six weeks before the departure date. The agreement between the parties is considered to be entered into upon the customer's payment of the agreed registration fee of € 500. If the trip is booked later than six weeks before departure, the trip is paid for at the time of booking. If the registration fee is not paid by the customer six working days after receiving the booking confirmation, the tour operator is no longer bound by the agreement. The tour operator reserves the right to cancel group tours if the minimum number of participants is not reached four weeks before the start of the tour.
Payment
When booking/registering, a deposit of € 500 per person is paid. Final payment must be made no later than 56 days (8 weeks) before the departure day. For payment by credit card, a payment fee of 3.5% is added. Transaction costs associated with payment, changes, or refunds are covered by the traveler.
Cancellation of multi-day tours (packages) and private tours
Changes
For changes to an already booked trip, the costs are €35 per person per expedition for packages and multi-day trips. Arctic Nomads reserves the right to make minor changes to the tour program, price adjustments due to changed framework conditions, possibly cancel/change individual tours, e.g., due to weather and snow conditions.
Force Majeure
Unless otherwise expressly stated in these booking conditions, the supplier will not be liable, pay compensation, or refund if our contractual obligations to you are affected by "unavoidable and extraordinary circumstances". This means any event beyond our control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Examples include warfare and acts of terrorism (and threats of such), civil unrest, a significant risk to human health such as an outbreak of serious disease at the destination or natural disasters such as floods, earthquakes, or weather conditions (lack of snow, snowstorms, or other natural conditions), etc., which make it impossible to travel safely to the destination or stay at the destination, action by a government or other national or local authority, including port or river authorities, labor disputes, closure of locks, natural or nuclear accidents, fire, chemical or biological disaster, unavoidable technical problems with transport, and all similar events beyond the supplier's control.
Deficiencies
If the traveler believes that there are deficiencies in the tour arrangement, the traveler must immediately inform Arctic Nomads representative. If the deficiency is not corrected in a satisfactory manner, the traveler may be entitled to a price reduction, provided that the deficiency was pointed out during the stay. The right to compensation lapses if Arctic Nomads can document that the damage or inconvenience cannot be attributed to Arctic Nomads or any company it has an agreement with for the implementation of the tour arrangement.
Insurance
Arctic Nomads is covered by liability insurance. However, please be aware that all participants take part in our tours and activities at their own risk. While we prioritize safety and take all necessary precautions, participants are responsible for their own well-being and should ensure that they have appropriate personal insurance coverage for the activities they will be engaging in.
We recommend insurance issued by an independent company (third-party company), which covers repatriation in case of illness or injury, includes cancellation insurance for activities and accommodation when cruise ships or other means of transport cancel port/tour, roads are closed and/or flights are canceled/canceled. Check that the insurance also covers injuries in accidents on more challenging tours (which we offer); such as mountain biking, ski expeditions, dog sledding, and hiking in mountain terrain. Without such insurance coverage, you as a traveler may have to bear all costs in the event of an accident.
